Excel to PDF: How to Fit a Spreadsheet on One Page

You convert a budget or report from Excel to PDF and get twelve pages: three columns on each, the last column alone on its own sheet, and empty rows at the end. The PDF faithfully reflects what Excel would "print", so the fix is preparing the sheet before converting.

1. Set the print area

Excel tries to print everything that contains something, including cells with a stray space or leftover formatting.

  1. Select only the cells you want in the PDF.
  2. Page Layout > Print Area > Set Print Area.

That alone removes many blank pages.

2. Scale to one page wide

This is the setting that changes the result the most:

  1. Go to Page Layout > Scale to Fit.
  2. Width: 1 page.
  3. Height: Automatic.

Every column now fits across, and rows continue over as many pages as needed. If you also set "Height: 1 page" on a long table, the text may end up too small to read.

3. Switch to landscape

For wide tables: Page Layout > Orientation > Landscape. Combined with "Width: 1 page", this fixes most cases.

4. Repeat headers on every page

On long tables, having the header row at the top of each page makes them much easier to read:

  1. Page Layout > Print Titles.
  2. In Rows to repeat at top, select your header row (for example $1:$1).

5. Check page breaks

View > Page Break Preview shows blue lines where each page ends. Drag them to decide exactly where the next page starts.

Convert Excel to PDF

With the sheet ready:

  1. Open the Excel to PDF converter.
  2. Upload your .xlsx or .xls file.
  3. Download the PDF.

The converter keeps colors, borders, merged cells and text formatting. Formulas show their calculated values, which is exactly what you want in a document you send; keep the original Excel file in case you need to change anything.

Final touches

  • Hide helper columns (intermediate calculations, internal notes) before converting: right-click > Hide.
  • Widen columns so numbers don't display as #####.
  • Add a footer with page numbers via Insert > Header & Footer, useful for long reports.
